There are a few good things with this software and I hope that it continues to improve. Communication from the company on features and updates is very poor. They need to improve the stability of the program and better integrate frequently requested features such as scrolling within windows.

Statements are horrible. Very hard to understand for staff and patient. Our accounts receivable are inflated due to this reason. Patients don't understand the statements and usually ignore them. We spend numerous hours on the phone with patients explaining the statements and what they mean. The program is buggy. I will have one or two features cause a crash on a regular basis. The lack of a universal scroll feature is a poor design flaw that needs to be fixed. |

I realize no softwear is perfect but for over 2+ years I have tried to get them to fix "what I consider" major problems with the program...I am "still trying." I am running SQL 8.0 , 8 computers + server. Newest version available at this time.
I still cannot recommend the program due to so many errors and many parts of the program simply not working correctly. There are some nice features but with the amount of errors/bugs I would not purchase again.
Make sure to get a demo and really use it. I love the website, itrain, etc but the program itself has many errors. They might be the biggest software company out there but they not the best. You would think with all the money and man power their software would be flawless.
The box looks good but the contents inside are lacking.

Sliding bar to input infor is nice. itrain videos are very nice Fee slip seems to be pretty well thought out Right click and you can go to many parts of program eaisly. |
| What needs work? |
The program has very little logical flow, it is very pieced together and seems to carry over old buttons and items not used anymore. One person wrote OM, another EW, another the scheduler, another RW and none sat down together to figure out what the other was doing. There is a LOT of clicking between windows to navigate. You cannot customize OM or EW period. You can edit the menus in EW but what the title says will be the same only the wording will change. You will have to memorize what the title is and what the wording is to say. You cannot delete or inactive tests you will never do in your office. They will always be there and you will have to weed though the clutter. You either live with what OM/EW likes or you... well live with it. No ablity to customize reports, statements, reciepts, logo, screens, etc. What other program seemed to have offered years ago OM/EW seems to just be working on (custom field, mouse working, scheduler working, etc. etc. etc.) The scheduler is horrible. Colors don't work, it does not link back to OM, all insurances pull down for a patient rather than the ones assigned in the demographics etc. The schedule is a nightmare plain and simple. The office staff hates it. Mouse does not function in many parts of the program. Support staff tells me "yeah we don't like that either" ... fix it! Last exam date changes if you make a new order in SRX or CLs through EW! Huge error in recalls, still not fixed after 2+ years. Pat. may ask “when was my last exam” and you are not sure what to tell them because you are never sure if it was updated (better to check the ledger). Patient aging statement does not work, tells patient they are 30 to 120+ days past due on their first bill –a great way to really tick off patients. My billing department has to go though EACH and every statement to cross out and fix them before they are sent out. Statements are very difficult to explain to the patient as we ourselves don’t understand them. Statements do not show how things were calculated, only a total; be ready for your patient to come in asking. If a patient returns something from say Visa 6 months later, and uses the credit it says payment is by visa…really throws you off (should say patient credit). Each item has it’s own window, so each item (demographics, ledger, receipts, products, etc.) opens in a window which you will find many times opening and closing through out they day (it does not switch between windows). Reports?? What are those...o you want them correct? Run a report one way and it shows X items, run it another and it shows a different results. Very limited reporting system, unable to “Search” anything in OM, only what OM allows which is limited to say the least….if correct. Ex: Tried to find how many xxx insurance patients we had in a given month… nope Reports and other parts: Search fields are poorly done. Curser does not show, if you search, say 92004 and hit 9 all of the codes starting with 9 show up (great) when you press 2 all of the codes than starting with 2 will show up...it does not filter down 9 than 2 than etc. Same with diag. codes. If you search for diag. code in EW you must know exactly what it starts with because it won't search any word in the field... example "Corneal degeneration, Arcus" you cannot search Arcus,,,it won't show, you must search Cornea and than weed though to find with one has arcus in the line. If you like to market your practice OM is NOT the program for you. If the reports do work you will have to weed though pages and pages to find the item you want. Maintain documents is very limited…they should just merge right to Microsoft word or openoffice.org. If you pull in a trial lens in EW it logs that trial lens (or final or presenting) each and EVERY time… you will have many many of the same logs for no reason that I can think of. Also rememeber if you don't "back date" the lab order your exam date will be reset (causing your recalls to be off also). They have updated the icon, pretty colors but not fixed items less important like scheduler, reports, ledger, statements, recalls, etc. Difficult to see what is going on with a pat. since EW is only in narrative format, I find myself reading a lot of extra words. I spent may hours changing what I wanted the menus to say and was all reset when I updated to 8.0 You cannot log in and out of the program, it must be completely shut down (with annoying ads at the end about idata back up, etc) and than restarted. The program also does not time out so if in the dispensory you must log in and out constantly. License is for 10 computers after that price increases. Not sure why they don't support connection, networking, drivers, etc. Why the increase? Most fixes from support seem to be run around answers with little being fixed. |

I think OfficeMate is a victim of their own success, they have grown so much that they are too large to respond to user request. While it is a very comprehensive program it is not that user friendly. I find myself constantly looking at other programs in search of something better. I have seen several other programs that look interesting but most of them have a very small user base and I am concerned about the ability of these companies to survive. I may not absolutely love OfficeMate but I am confident that they will be around for many years to come so I have not switched. Yet.

| What do you like? | I love auto letter, with just a couple of mouse clicks I can create exam reports for primary care physicians. I like that it can interface with many of my instruments. I like that it is a comprehensive package that has many features. |

Tech support needs a lot of work. One of the biggest complaints that I have had with ExamWriter is that you cannot link a diagnosis code to a procedure code. I know that it has caused lost revenue when billing 3rd parties and it costs more for my back office staff to track down all of these issues. I have been requesting this feature for 2 years but OfficeMate is unresponsive. The accounting end of the program has several major flaws and needs a major overhaul. It would be great if it interfaced with Quickbooks. Although OfficeMate allows a user to enter a patients email address in their demographics it does not have the capacity to send email. Reports could be much better and should have tighter integration with Excel. I have been using ExamWriter and been paperless since 2000, ExamWriter is still too cumbersome. For new patients, it can take longer to enter their exam data than it does to examine them. |

ExamWriter is very inefficient.
I have found it much faster, easier, and less stressful to do all my exams on a paper form and have it scanned into an ExamWriter record. We still use the ExamWriter record to have the autorefraction and lensometer readings imported into the exam. Additionally, we enter all the prescriptions into the ExamWriter patient record, which makes it easy to pull up when needed. However, using the paper form system helps me to see everything I need to see all at once, and it is fast, easy, and much more patient-friendly then turning to type into a computer during the exam.
It took weeks and weeks to integrate the autorefractor and lensometer with the computer system - customer support actually did not know how to do it with my TopCon system! I finally had to figure it out on my own, along with a computer guy who had never done this before either. We spent over $500 in buying the wrong adapters, wrong cables, and paying $78/hour for a computer technician to help. Thanks, ExamWriter!

| What needs work? | Customer service is poor - it may take 2-3 days before getting an answer to a simple question. Completing an ExamWriter chart takes 20-30 minutes longer than completing a paper chart due to the various windows that have to be completed. You can't see the glasses prescription at the same time as the contact lens prescription. |

I would not recommend this software to anyone based on their terrible lack of customer service and poor business practices. The software is not terrible. But the company is.
I've had Officemate for 10 yrs and Examwriter, with full integration of digital refracting and photo equipment for over two. I know what I'm talking about.

1. Terrible coding module. After years of requests, still not a viable method to link diagnosis (ICD-9) to coding (CPT).........to GET PAID PROPERLY! It's the most basic of basic requests. But you can enter 45 ways to measure binocular vision!! 2. Not very intuitive. Officemate and Examwriter do not 'mesh' well together. Lots of double work like having to enter recalls twice to get it into the exam form and then again to enter it into officemate. The stupid sliding power scales is just plain idiotic. 3. Apppointment scheduling could use some major work. The comments (to let you know what kind of exam you have) does not carry over from your last exam record. Hey, were talking about computers here. If I put down visual field in 6 months in the Examwriter plan, then there is no reason it shouldn't come up on the scheduler. That way I wouldn't have to spend 40 minutes every night going over tomorrow's patients to see what we are going to do with them. 4. By far the biggest weakness of this softwere and company is their horrible customer service. You can expect to spend hours on hold on the phone or wait from days to weeks to get a simple question answered. AND, when you lose (not if, but when) $100's or $1,000's of dollars because of a flaw in their software, they will try their best to blame it on your computers/network/staff or your ignorance. When you prove it's a problem in their own software, they are too cowardly and cheap to reimburse you the money they lost you. |
